Paperless Policy

As part of its measures to address the SDGs, TechMatrix Corporation (hereinafter, TechMatrix) is working to effectively use finite resources and reduce its environmental impact, with the goal of realizing a resource recycling society.
We are working to digitalize documents (create electronic documents) (i.e., go paperless), with the goal of proactively implementing remote work, which will simultaneously improve job satisfaction and fulfilment through diverse work styles and the creation of better work environments.

Digitization of contracts, invoices, purchase orders, quotes, etc.

In response to the development and spread of the Internet and other IT environments, TechMatrix is promoting the digitization of various documents sent to customers, such as contracts, invoices, purchase orders, and estimates (Hereafter referred to as the "Contracts, etc.".), in an effort to improve operational efficiency and conserve resources by reducing paper consumption.

In principle, TechMatrix will provide you with digital data of your transactions (*) in PDF format as "official documents". Also, we will electronically sign the contract (usually email authentication) instead of affixing a seal.

*Unless otherwise specified, such as when it is legally necessary to conclude the agreement in writing.

In addition to "written documents," other forms of contract conclusion such as "oral," "e-mail," and "cloud" are permitted under the principle of "freedom of contract method," and electronic contracts using electronic signatures are also permitted.

Digitization of documents within the company

TechMatrix uses an in-house system, the Application and Approval System, to digitize Contracts, etc. before they are provided to customers and to apply and approve them appropriately through an in-house workflow.
In addition, these documents and copies of documents prepared and documents received from customers are managed in accordance with the e-Documents Act (Act on the Development of Relevant Laws Accompanying the Enforcement of the Act on the Use of Information and Communications Technology in the Preservation of Documents Conducted by Private Business Operators, etc., and the Act on the Use of Information and Communications Technology in the Preservation of Documents Conducted by Private Business Operators, etc.) and the Electronic Book Preservation Act (the Act on Special Provisions for the Preservation of National Tax Books and Documents Prepared Using Computers).
